Book Your Block: The Event Housing Solution Provider of the Year Revolutionizing Youth Sports Lodging

The youth sports market is booming, reshaping local economies through weekend tournaments and regional championships that fuel hotel stays, restaurant visits, and generate millions in tourism dollars.

Securing the right event accommodations is crucial. Affordable and sufficient sport event lodging drives attendee commitment and event success.

Yet, amid such growth, hotel room block management often remains stuck in outdated processes—a costly inefficiency impacting hotel rebate revenue, Stay-to-Play compliance, and economic impact grant eligibility.

Book Your Block, recognized as an Event Housing Solution Provider of the Year, is changing the game with a game-changing approach to event housing

Built by a team of event operators, venue executives, and tech innovators, this industry-leading event lodging platform transforms tournament lodging from a logistical headache into a powerful profit engine.

It delivers robust, intuitive hotel technology to streamline sourcing and booking hotel rooms, simplifying event lodging management.

“We’re not just fixing a problem—we’re reimagining what lodging can do for an event,” says Mark Shearer, CEO and founder of Book Your Block. “When you combine intuitive technology, a hospitality-first approach, and real-time data, hotel bookings begin to generate one of the most powerful and profitable revenue streams for events.”

A Full-Service Event Lodging Platform Built for Event Organizers

Unlike legacy housing services, Book Your Block is purpose-built as a comprehensive event lodging platform.

It manages the entire process from sourcing discounted group hotel rates to building branded booking sites, tracking Stay-to-Play compliance, and providing 24/7 visibility into booking performance.

One of the earliest challenges tackled was keeping teams together. In youth sports, the group experience on and off the field matters most. Book Your Block supports this by enabling group leaders to compare local hotels, secure dedicated room blocks, and share easy booking links. Families can book individually at guaranteed competitive rates, ensuring everyone stays at the same hotel—without endless email chains or lost reservations.

This seamless experience strengthens team unity, simplifies travel coordination, and enhances the tournament atmosphere.

Mark Shearer notes, “If we can help keep teams together, provide timely communications, improve compliance, grow revenue, and simplify life for hotels and organizers, then we’ve done our job.”

Supercharging Event Hotel Conversions and Communications

Where many event housing platforms stop at simple booking links, Book Your Block drives conversion with full data transparency and real-time integration.

Its event lodging platform connects seamlessly to tournament registration APIs, allowing instant access to team registration data that powers targeted outreach.

“Our event housing software gives event operators visibility they never had before,” Shearer explains. “Without seeing your hotel room block conversion rates, you can’t improve them. Our platform delivers that critical insight.”

Once teams register, the system reaches out within 24 hours with tailored lodging options, then stays engaged with reminders, updates, and concierge-level support. Group leaders use a dedicated dashboard to monitor bookings and compliance, while automated communications engage thousands of teams without delay.

Managing Stay-to-Play Compliance with Ease

Book Your Block’s platform automates Stay-to-Play compliance tracking by flagging non-booked teams and notifying organizers instantly, eliminating tedious spreadsheet monitoring.

Real-time dashboards deliver insights into hotel inventory, booking pace, and group behavior, allowing event managers to adjust swiftly and maximize room block utilization.

These analytics are essential not just for compliance but for proving economic impact to hotel partners, convention and visitors bureaus (CVBs), and sports commissions—key to securing ongoing funding and grants.

Human-Centered Event Hospitality

While cutting-edge technology powers the process, personalization remains core. Book Your Block's US-based team blends hospitality expertise with scalable technology to provide support where it counts—from group leaders to hotel general managers.

“At the end of the day, it’s about creating a simple and seamless hotel booking process for everyone involved,” Shearer highlights.

Proven Results with Measurable Impact

  • A mid-Atlantic venue managing hotel blocks for 32 annual events improved operations after partnering with Book Your Block, securing over 21,000 room nights and generating six-figure hotel rebate revenue. The platform’s data tracking revealed a $32 million economic impact, strengthening grant applications and stakeholder buy-in.

  • A Northeast tournament operator committed to strict lodging policies boosted hotel rebate revenue by 118% over two years through enhanced compliance tracking and expanded hotel partnerships. This growth increased CVB engagement and unlocked future event funding.

Beyond Youth Sports: Festivals, Conventions & Citywide Events

As the youth sports market expands, Book Your Block is scaling its event lodging platform into broader event categories, such as festivals and conventions, where last-minute registrations and dynamic room block management challenge organizers daily.

Mark Shearer explains, “Our Automated AI solution creates custom booking sites with deeply discounted rates, automates communication at scale, and tracks bookings in real-time—all the way to event day. This ability to demonstrate the economic impact of hotel reservations outside of group blocks is a real industry game changer.”

Looking Forward: Innovation and Growth

Having grown through bootstrapping, Book Your Block is now seeking strategic investment to accelerate expansion into new event markets while refining its technology and deepening its presence in the youth sports arena.

What is a Hotel Room Block?

A hotel room block is a reservation of a specific number of rooms at a hotel for a sports team, their families, and other attendees of a sports event or tournament.

Instead of calling hotels individually to get group rates, event organizers negotiate with hotels to set aside a certain number of rooms at a special rate for their guests. This process is often referred to as a hotel room block explained.

The event organizer then provides guests with a code or link, allowing them to book rooms from the block at the discounted rate.

Benefits of Hotel Blocks for Sports Teams and Weddings

  • Guaranteed availability Reserving a block of rooms ensures that event attendees have a place to stay, especially when tournaments occur during peak seasons.

  • Discounted rates Hotels offer lower rates for room blocks, which can save guests money.

  • Convenience Room blocks simplify transportation and coordination for events, as teams and their families stay in a central location.

  • Tracking Room blocks allow event organizers to track which guests have booked rooms, which helps with planning and logistics.

  • Team Togetherness: Hotel room blocks can help keep a team together, which can be essential for team building and pre-game preparation.

  • Amenities: Hotels can provide amenities specific to sports teams, like access to gyms, pools, meeting spaces, and free breakfast.

How to Set Up a Hotel Block for Events

  1. Negotiation: Event organizers or team managers contact hotels to check availability and how to set up a hotel block for events, including negotiating rates for a block of rooms.

  2. Agreement: The hotel and organizer agree on the number of rooms, the dates, and the rate. A contract is signed, outlining the terms and conditions.

  3. Booking: Guests are given a special code or link to book rooms from the block at the agreed-upon rate. This is a key part of how to book hotel room blocks near event venues without hassle.

  4. Cut-off Date: Hotel room blocks typically have a cut-off date, after which any unbooked rooms are released back into the hotel's general inventory.

  5. Payment: Guests pay the hotel directly for their rooms. Sometimes, the event organizer may be responsible for a percentage of unbooked rooms, depending on the agreement.

Pickleball dominates as America’s fastest-growing sport, with participation skyrocketing 171.1% between 2018 and 2022, highlighting significant youth sports market growth and participation across all age groups.

Its rise is attributed to accessibility, social appeal, and adaptability across age groups. Post-pandemic, its popularity surged, with 19.8 million players in 2024 and a 311% growth over three years. This explosive participation reflects broader youth sports market growth and an increasing demand for multi-use recreational spaces.

However, infrastructure challenges persist, requiring an estimated $855 million in court construction over the next decade.

Cold-weather activities are heating up, with alpine touring (115% growth) and winter fat biking (69.4% growth) ranking second and third.

These sports cater to outdoor enthusiasts seeking adventure in snowy terrains. The Best States to Host Your Next Sporting Event

The United States hosts some of the world’s most iconic sporting events, with states competing to attract major tournaments, leagues, and championships.

Key factors in determining the best states for sports event hosting include tax incentives, world-class facilities, and economic infrastructure. Below, we break down the top US states for youth tournaments based on these criteria, leveraging insights from recent events and tax policies.

California: The Gold Standard for Mega-Events

California’s reputation as a sports-friendly location for organizers is unmatched, with upcoming events like the 2026 FIFA World Cup, Super Bowl LX/LXI, and LA28 Olympics cementing its status.

The state’s infrastructure—ranging from Levi’s Stadium (Santa Clara) to SoFi Stadium (Inglewood)—supports large-scale productions. However, California’s tax landscape is complex. While it imposes sales tax on admissions, its ability to attract events is bolstered by its global appeal and economic impact projections (e.g., $500M for Super Bowl LX). Cities like Sacramento are also leveraging niche events like the X Games, drawing 35,000 daily attendees and ranking California among the best places to travel for sports competitions.

Florida: Tax-Friendly and Event-Ready

Florida’s no state income tax makes it a magnet for athletes and teams, reducing financial burdens on participants.

Additionally, Florida imposes sales tax on event admissions but offers exemptions for major organizations like the NFL, NBA, and MLB. Cities like Orlando rank among the top US cities for youth tournaments due to their hosting prowess, including the 2025 Pro Bowl and frequent NBA All-Star Games. The state’s year-round climate and venues like Hard Rock Stadium (Miami) further enhance its appeal, making Florida a clear answer to where to plan tournaments in the US.

Texas: A Mix of Sales Tax and Super Venues

Texas taxes admissions to sporting events but balances this with state-of-the-art facilities like AT&T Stadium (Dallas) and NRG Stadium (Houston).

Arlington, Texas, is a top-ranked sports-friendly location for organizers of sports business cities, hosting events such as the College Football Playoff National Championship. While Texas lacks income tax, its sales tax on tickets (e.g., 8.25% in Dallas) could deter smaller events. However, its robust infrastructure and economic clout make it one of the best states for sports event hosting.

Georgia: Strategic Tax Exemptions

Georgia offers tax exemptions for non-recurring events generating over $50 million in local revenue, a policy that attracted the 2026 FIFA World Cup and Super Bowl LIII.

Atlanta’s Mercedes-Benz Stadium and its connectivity to Hartsfield-Jackson Airport make it a logistical hub. The state’s blend of tax incentives and modern venues positions it as a rising star in event hosting. Georgia is rising fast as one of the top US states for youth tournaments.

Nevada: No Income Tax and Las Vegas’ Appeal

Nevada’s no state income tax and exemption for admissions to events hosted by in-state organizations create a favorable environment.

Las Vegas, a perennial top sports business city, leverages its entertainment ecosystem to host events like the NFL Draft and UFC fights. The city’s ability to combine sports with tourism (e.g., Allegiant Stadium) drives economic activity, though its reliance on tourism may pose risks during downturns.

Indiana: Tax Breaks for Sports Organizations

Indiana broadly exempts purchases and sales by major sports organizations, reducing operational costs.

Indianapolis, home to the Indianapolis Motor Speedway and Lucas Oil Stadium, is a top-ranked sports business city, hosting events like the NFL Combine and NCAA Men’s Basketball Tournament. The state’s centralized location and tax-friendly policies make it a cost-effective choice for multi-day events.

Ohio: Local Tax Nuances

Ohio has no statewide sales tax on admissions, but cities like Columbus and Cleveland impose local taxes.

However, exemptions exist for events benefiting educational institutions (excluding NCAA events). While not a top-tier destination, Ohio’s affordability and venues like Progressive Field (Cleveland) make it a practical option for those wondering where to plan tournaments in the US.

Key Considerations Beyond Tax Incentives

  • Facilities: States with modern stadiums (e.g., California’s SoFi Stadium, Texas’ AT&T Stadium) attract high-profile events.

  • Logistics: Proximity to airports, hotels, and transportation hubs (e.g., Atlanta, Las Vegas) enhances hosting viability.

  • Cultural Appeal: California’s diversity and Florida’s tourism draw global audiences, amplifying event visibility and reinforcing their status as the best places to travel for sports competitions.

Conclusion

The best states for hosting sporting events balance tax policies, infrastructure, and economic impact.

California leads in mega-events, while Florida and Nevada offer tax advantages. Georgia and Indiana provide strategic exemptions, and Texas combines sales tax with world-class venues. As states compete for events, those prioritizing athlete-friendly tax laws, modern facilities, and streamlined logistics will dominate the sports event hosting landscape.

Kicking Off Innovation: Mark Shearer's Journey from Professional Soccer to Transforming Event Accommodations

Mark Shearer is a trailblazer in the booming event housing industry.

He sits at the intersection of sports and technology, passionately revolutionizing an $11B industry.

As the former Facilities Executive Director of Golden Goal Sports Park, he demonstrated exceptional strategic leadership by transforming an underperforming facility into a premier sports destination that attracted over 50,000 visitors annually and generated significant economic impact.

With a Bachelor of Computer Science from Fairleigh Dickinson University, where he graduated cum laude as a student-athlete on a full soccer scholarship, Mark's unique background blends academic prowess with extensive sports management expertise.

In this piece, we speak with Mark to learn about his origins and where he’s planning on taking Book Your Block.

Professional Soccer and Early Tech Roots

"I earned my Computer Science degree on a soccer scholarship, starting my tech journey as a Junior Computer Analyst while still playing," Mark reflects on his early career.

A former professional soccer player, Mark proudly represented both England and the USA in international matches. His coaching journey has been equally impressive, guiding players with experience from the FIFA World Cup, US National Team, and UEFA Champions League to domestic championship triumphs.

Inspiration Behind Book Your Block

The genesis of Book Your Block emerged from Mark's rich soccer experiences.

"The inspiration came from the amazing experiences I had while traveling with my soccer teams," he explains. "Lodging together was more than just rest stops; it was about creating connections."

One particularly memorable trip to Italy with the New Jersey Eagles stands out, where they faced the Italian B National Team. "What truly made it special was our time off the field; sharing delicious meals, exploring the city, and having a great time as a team."

From Sports Venues to Technological Innovation

During his time as a Facilities Executive Director, Mark earned recognition in the Southeast for his strategic acumen in revitalizing underperforming sports venues.

During his tenure at Golden Goal, he achieved a remarkable 98% customer satisfaction rating, established partnerships with local government and businesses, and attracted international and domestic professional teams, colleges, and youth clubs.

By analyzing workflows and implementing effective solutions, he consistently drove revenue growth by an astonishing 1500%, transforming struggling venues into thriving hubs of activity.

His work founding T4 Soccer, a sports technology company, further solidified his approach.

"We developed a standardized testing protocol to assess soccer-specific athleticism," Mark recalls. "With over 15,000 athletes assessed and $1.2 million raised, I learned that if you create something of real value, support naturally follows."

Book Your Block: A Transformative Vision

"Book Your Block kicked off with a simple mission: To make lodging fun and hassle-free," Mark explains.

The platform has since evolved into an award-winning solution that streamlines booking processes and offers valuable insights and reports for event organizers.

Future and Philosophy

Looking ahead, Mark is excited about the company's potential.

"We're exploring advanced data analytics, personalized user experiences, and seamless integrations with event management systems," he shares. "Our ultimate goal is to become the go-to solution for event lodging; not just in sports, but across various industries."

His leadership philosophy is rooted in passion and creativity.

"We listen to our customers, always looking for ways to enhance their experience," Mark emphasizes. "We cultivate a culture where everyone feels part of something special."

As Mark continues to push boundaries and reimagine event accommodations, his journey remains a powerful testament to the transformative potential of combining sports, technology, and a genuine commitment to creating meaningful connections.

Myth Busted: You’re Forced to Book One Hotel

Does Stay-to-Play mean you’re stuck with just one hotel? Not at all! These policies offer a selection of vetted hotels, giving you plenty of choices to suit your family’s needs.

Each hotel is chosen for its quality and safety, and booking through these hotels often includes perks like complimentary breakfasts and free Wi-Fi, making your experience even better. This is a key stay-to-play benefit for team parents, offering the flexibility to choose lodging that fits their budget, preferences, and proximity to the venue. So go ahead and enjoy the variety!

While Stay-To-Play offers fantastic benefits, we totally understand that exemptions can be necessary. Whether you live nearby or have another personal circumstance, we’re here to help!

Myth Busted: It’s More Expensive for Families

Think Stay-to-Play will break the bank for families? In reality, with guaranteed room block utilization, major hotel chains team up with Stay-to-Play programs to offer exclusive group rates that are always lower than the public rates—plus, you still can still earn points from these reservations!

This is one of the clearest examples of why stay to play helps sports families—by keeping costs low and perks high without limiting flexibility.

Myth vs Reality: Understanding The Benefits of Stay-To-Play

Many believe Stay-to-Play policies are just profit schemes for tournament directors. In reality, any commissions or rebates earned from hotels are reinvested to improve the tournament experience—think better facilities and added amenities for players and families.

Due to Book Your Blocks relationship with partner hotels they are also often more flexible with last minute cancellations and avoiding penalties plus they include extra insurance for added peace of mind, making it a smarter choice compared to non-Stay-to-Play tournaments.

How to Manage Stay-to-Play Exemptions: Tools, Policies & Request Forms

How do you manage relationships with hotels to secure the best deals for your clients?

It’s all about building strong relationships. With my background in hotels, I understand what drives their success, and I’m always seeking win-win solutions. We collaborate closely with hotels that provide family-friendly amenities, such as pools and team BBQs, which are ideal for our clients—traveling families with kids who want to transform a sports tournament into a memorable trip experience.

At Book Your Block, we aim to integrate ourselves into the hotels' teams, working together to help guests add nights, modify their stays, and understand hotel policies. We also send out a code of conduct to all guests to ensure a positive experience for both the hotels and our clients. And when exemptions come up, our Stay-to-Play policy control process ensures that tournament directors, hotels, and families are all aligned, keeping things smooth and stress-free.

Meet Rae Marie Ciavarelli – Leading Operations at Book Your Block

We recently had the pleasure of sitting down with Rae Marie Ciavarelli, the newly appointed Director of Operations at Book Your Block. With six years of experience in hotel sales and operations in the Long Island market, Rae Marie is a true hospitality professional with a deep love for travel and a passion for creating unforgettable experiences.

As our former Group Sales Manager, she has excelled and is now transitioning to the Director of Operations role. It’s exciting to hear about her experiences and the new strategies she will bring to Book Your Block - including improvements in how we manage Stay-to-Play exemptions more efficiently for families and planners!

Can you tell us a little about your background and how you got started in the hospitality industry?

Sure! Ever since I was a kid, I’ve had this natural “hostess with the mostess” attitude—I loved making people feel welcome. I actually started out with a passion for baking and dreamed of owning a bakery. But as I explored career options, I came across hotel management, and it just clicked. That led me to study Hotel, Restaurant, and Tourism Management at Fairleigh Dickinson University. My first job was at the front desk of a hotel, where I got to dive into operations, customer service, sales, and revenue management. It was the perfect place to start!

What are families seeking from sports event accommodations?

I’m noticing some exciting trends in youth sports travel! As tournaments often last several days in fantastic locations, there has been a rise in families turning these trips into their main vacations or Staycations. This means they’re seeking accommodations that feel like home, complete with kitchens for meals, games rooms, hang out spots and laundry facilities.

It’s not just about the kids— as parents are treating these trips as their own holidays. They want accommodations with pools, bar and restaurant facilities to relax after cheering on their athletes. It’s all about creating a memorable experience for the whole family, blending sports with leisure, and we’re here to help them find the perfect spot! We’re here to help them find the perfect spot, and when exceptions are needed, we provide an easy-to-use Stay-to-Play exemption request form to make sure no family is left out.

How do you stay ahead of the competition in such a dynamic and competitive industry?

Book Your Block is committed to innovation, consistently launching technology to simplify group bookings and enhance communication with event operators, hotels, group leaders, and guests. We also prioritize staying personal. We make it a point to reach out to every single team at our events and work closely with group leaders, teams, and parents. It’s all about building relationships and creating a brand that people feel connected to. By being hands-on and attentive, we set ourselves apart from the competition. A key part of our competitive advantage lies in having clear Stay-to-Play policy control and offering tools for exemption tracking, ensuring transparency and responsiveness when handling unique lodging needs.

What does a typical day look like for you in your role as Director of Operations?

My days are pretty fast-paced! I usually start around 7 a.m., and from there, it’s a mix of coordination and collaboration.

I work closely with event operators to achieve our lodging goals, review event inventory, and ensure our hotel partners are ready for families. I oversee our hospitality and customer service teams and address any escalated guest issues. I also participate in team calls, reach out to newly registered teams, communicate hotel options, and track registrations. It’s busy, but I love it!

What are your goals for Book Your Block in the upcoming year?

We’re excited to see our technology and hands-on customer approach gaining traction among venues and operators, leading to our rapid growth, especially from connections made at major sports conferences. Building hotel partnerships in new markets is a top priority for us, and that means me hitting the road for face-to-face meetings with hotel sales managers and CVBs. Each month, we’re thrilled to introduce new technologies that support Stay-to-Play exemption request tracking and improve visibility across every touchpoint. Book Your Block is constantly growing the team with passionate individuals who genuinely care about providing outstanding service. Ultimately, we want to be the go-to name in youth sports travel, delivering memorable experiences that teams and families will love.

Book Your Block Book Your Block

To keep things running smoothly and ensure everyone has a place to stay, many event organizers use a “Stay to Play” policy. This means all hotel bookings must be made through the official tournament site, such as Book Your Block.  This policy ensures smooth travel logistics for clubs, teams, and athlete families. With hundreds of teams attending a tournament, it’s essential to plan and secure enough rooms in advance.  It’s all about making travel arrangements as seamless as possible!

A well-coordinated Stay-to-Play program encourages hotels near the venue to become partners, as they are guaranteed full utilization of their room blocks. This approach not only maximizes occupancy for our fantastic hotel partners but in turn provides attendees with a diverse range of accommodation options. Participating hotels agree contractually to offer the lowest available rate, ensuring attendees won’t find a lower flexible rate for the same dates. We even negotiate

to include special amenities that might not be available if booked elsewhere, such as complimentary parking, breakfast, and discounts to on-site restaurants. This setup creates a win-win situation for both attendees and hotel partners!

By facilitating team lodging, you can also earn attractive rebate commissions on hotel bookings. Book Your Block and its hotel partners offer a rebate per guest for each room night booked, creating a fantastic supplemental revenue stream from cumulative reservations. For example, if your event generated 1,000 room nights with a $15 rebate per room night, you would receive $15,000 from Book Your Block within 30 days of the event ending. Contrary to common misconceptions, these rebates are not just about boosting profits; they’re a great way to grow events by minimizing expenses. Mark Shearer, CEO, explained, "Rebates aren't just about increasing profits; they’re essential for minimizing expenses and growing events. The rebate amount varies by event and market to help us find the right partners. A successful lodging program focuses on getting the best hotels close to the venue, and the job of Book Your Block is to communicate these lodging opportunities and convert attendees. Our technology enhances conversion rates, which generates additional revenue for the rightsholder."

Your Event, Our Solution

Book Your Block offers a frictionless onboarding experience. Organizers can submit event details—including venue, dates, and Stay-to-Play policy setup for organizers’ preferences—using one simple online form. The form is customizable to fit each event’s needs, ensuring accurate housing coordination.

Once you click submit, we handle the rest, ensuring your Stay-To-Play policy is set up for success. We ensure teams can stay together in one convenient location close to the venue. Group leaders can secure a block of rooms without dealing with hotel contracts or penalties for unreserved rooms.

Book Your Block personally visits and inspects partner hotels. We share these experiences with group leaders and athlete families to ensure each group finds the perfect location with all the desired amenities and comforts. In addition to this, all guest rooms in each hotel block are offered at the same rate, so athlete families in the group all pay the same amount regardless of when they book. The Book Your Block system is unique and avoids the traditional hotel booking model that raises room rates as more rooms are booked and inventory decreases.

Weekly Violator Reports

Book Your Block offers an exclusive 'Weekly Violator' report to help you track team compliance with stay-to-play policies, providing valuable insights into teams not complying with your Stay-To-Play policy. This report identifies which teams are not adhering to the lodging policy, allowing you to follow up with the group leader to encourage booking.

Teams become violators after ignoring several attempts from us via phone and email to set up their hotel group block. Our system logs these attempts and sends them to you, ensuring full transparency about our efforts to secure lodging for the group.

Book Your Block understands that there may be circumstances where you need to exempt a team from the policy. We’ve created a simple exemption request form for this purpose. You can submit the online form in minutes, and it is immediately sent to the tournament director for review.

The Benefits Of Stay-To-Play

Book Your Block supports your success with robust technology and unmatched service. Our system includes tools for tracking stay-to-play team status across all of your events. You’ll receive real-time insights into bookings, violations, and room block utilization.

This data is invaluable not only for event operations but also for working with CVBs, sponsors, and municipalities. The ability to track team compliance with stay-to-play and report on hotel usage strengthens grant applications, sponsorship proposals, and long-term community partnerships.

Mark Shearer, CEO, said, "Stay-to-play is often misunderstood because not all organizers push for the lowest available rate guarantee for attendees. However, for a large tournament requiring thousands of rooms, stay-to-play is essential. It prevents spikes in room rates by locking in and freezing rates. Without it, rates could fluctuate on the open market, making hotel stays unaffordable for some families."

CVBs and sports commissions can leverage this data to encourage municipalities, sponsors, and potential funders to support these events, essential for the growth of your future events.

A Stay-To-Play policy streamlines hotel bookings for events by requiring participants to reserve accommodations within a designated block. This approach facilitates smooth logistics and maximizes revenue by securing sufficient inventory for anticipated guest volumes during peak periods. It minimizes the risks of overbooking and shortages while providing price stability. Additionally, the policy ensures effective room utilization, benefiting both hotels and event organizers. Overall, it’s a fantastic strategy for a seamless event experience and success.

Book Your Block is proud to be the only event housing partner offering full-spectrum stay-to-play support—from setup and booking to tools to enforce stay-to-play compliance. Book Your Blocks offers a turnkey event lodging solution, making it easier than ever to take control of your event housing. Have questions or want to learn more about our features and services? How Team Leaders Can Effectively Manage Hotel Group Blocks

We understand that club or team leaders have demanding schedules and numerous responsibilities, often juggling participation in events with multiple teams. That’s why Book Your Block has designed a hotel block automation platform that makes group block setup and management effortless. Our mission is to help you manage lodging for large groups easily by streamlining accommodations at a centralized hotel. Our platform offers instant booking updates, alerts for stay-to-play violations, round-the-clock customer support, and a dedicated concierge service.

We're here for group leaders, every step of the way.

Group Block Set Up

Wondering how to manage group hotel blocks effectively? We’ve got you covered from the start.

For round-the-clock customer service, group leaders should first visit our Online Help Center. The Help Center ensures 24/7, 365-day

access to quickly resolve reservations, offering instructional videos and screenshots for guidance on topics like setting up a group block, submitting an exemption from the stay to play policy and modifying group blocks. This platform resolves 98% of all group block questions!

If the Help Center doesn’t resolve the issue, provide us with the details, and a helpful representative will be in touch to help get the block set up as soon as possible.

We know that group leaders have busy schedules so if we notice that you haven’t set up your block yet, our group sales and hospitality team will reach out to discuss nearby hotel options and walk you through group block set up. We’ll assist group leaders in finding the best fit based on proximity to the event venue, amenities and budget considerations. If there aren’t enough rooms available at the preferred hotel, don’t worry—we’ll personally contact the hotels to negotiate an increased room block on the team's behalf!

Call Center Support

Not only on hand for the group leaders we also offer customer support for guests to ensure the responsibility of modifying or canceling reservations doesn’t fall on the group leaders shoulders.

We provide each guest with an individual dashboard which gives them a comprehensive view of their booking details at a glance. They can view reservation dates, times, and specific booking details, and easily request further information directly through the dashboard. This way, group leaders can relax knowing their team has all the support they need.

We have also developed an Instant Response Platform, the first of its kind within the lodging sector, which ensures that 80% of guest calls are resolved within 180 seconds. By integrating advanced technology and proven customer service practices, we ensure hotel guests receive quick and thorough support for their inquiries.

Our Concierge Services

Attending a tournament with multiple teams? Our Concierge Service is ideal for managing group hotel blocks for sports parents and club administrators alike. Our representatives collaborate closely with the group leader to understand the group size, inventory needs, amenity preferences, and budget considerations. They are experts in the local hotel market and have detailed knowledge about which properties offer the flexibility to accommodate larger groups.

Book Your Block offers the expertise to help choose a central hotel or a group of hotels that best meet your club's needs. All identified hotel options for the club are then consolidated into a single, easy-to-use dashboard. Tech-Driven Hotel Sourcing Best In The Industry

In the world of event tournament planning, securing the best hotel accommodations for attendees is essential. It is crucial to have enough inventory to accommodate teams and athlete families across a variety of brands and price points, all conveniently located near the venue. Our state-of-the-art, digitally driven hotel sourcing, RFP, and contract processes ensure unbeatable rates and extensive room options.

Book Your Block’s approach leverages the latest advancements in technology to streamline and enhance the hotel sourcing process. This ensures that every event benefits from our commitment to excellence. As Pete Townsend, Managing Director of Sports At The Beach, said, “When Book Your Block presented its communication initiatives to the hotel community, we saw a substantial increase in room inventory.”

Targeted Hotel Sourcing

Our powerful sports lodging sourcing technology uses mapping tools to identify and target hotels near the event that match specified brands, amenities, and budgets. This ensures we only present options that meet your team’s specific needs.

Leveraging our extensive industry knowledge and valuable relationships with hotels nationwide, we negotiate exceptional rates with hotel chains across the country. Our team includes local hotel market experts, with some members having experience as sports group leaders or hotel sales managers. This background provides us with detailed insights into which properties offer the flexibility to accommodate larger groups.

Efficient Communication with Hotels

Using cutting-edge hotel sourcing tools for planners, we send electronic RFPs directly to hotel sales managers. This ensures all relevant event details are shared instantly and accurately, speeding up the process for planners and hotels alike.

All hotel bids are received and stored digitally, making it easy to recall, review, and compare options. Contracts are then executed digitally and contain all the terms and information detailed in the RFP. This tech-driven Book Your Block approach not only streamlines the contracting process but also ensures that all parties are on the same page.

Seamless Onboarding

The onboarding process couldn’t be simpler, thanks to our electronic data collection forms and machine intelligence. Event operators can quickly submit their event details, including venue, event dates, anticipated team registrations, Stay-To-Play policy, preferred room types, and lodging goals, using one easy link.

Our form is completely customizable to fit the specific needs of the event and housing requirements. This flexibility enables us to gather comprehensive data tailored to each event's unique circumstances, ensuring every sourcing experience is smooth and efficient. Receiving the information in a single, efficient process forms the foundation of our communication with hotels. This data is also crucial for reporting and assessing the economic impact

Efficient Communication with Hotels

Utilizing cutting-edge sourcing software, we send electronic RFPs with event details directly to hotel sales managers. This direct digital communication speeds up the process and ensures that all necessary information is conveyed accurately and efficiently.

Guaranteed Lowest Rates

Book Your Block’s partner hotels offer Special Event Rates, which are discounted group rates based on the number of rooms booked for the event. These rates are locked in as the Lowest Available, so you won’t find a better flexible price online. We also negotiate for special perks like free parking, breakfast, and discounts at on-site restaurants, which might not be available if you book elsewhere!

All guest rooms in each hotel block are offered at the same rate, so athlete families pay the same amount regardless of when they book. The Book Your Block system is unique because it avoids the traditional hotel booking model, which raises room rates as more rooms are booked, inventory decreases, or booking prices spike in the area. By facilitating team lodging, you can also earn attractive rebate commissions on hotel bookings. Book Your Block and its hotel partners offer a rebate per guest for each room night booked, creating a fantastic supplemental revenue stream from cumulative reservations.

Need to house event staff? On request, we can negotiate for complimentary rooms to keep team members on-site. These rooms are unlocked as attendees book, helping to save on budgetBy ensuring that the appropriate staff can attend the event, Book Your Block supports the success of the current tournament and helps in growing future events.

And the best part? Book Your Block never works with attrition clauses, which allow hotels to charge a penalty if fewer rooms are used than originally booked. By avoiding these clauses, we offer our rights holders the flexibility and confidence they need when planning their events. Book Your Blocks attrition policy ensures that no one is penalized for any unsold rooms, making the planning process seamless and worry-free.

Inspection Program

We believe in the power of relationships. In most markets, the Book Your Block team meets personally with hotel sales managers to review lodging requirements and explain our communication initiatives in detail.

This personal touch builds strong relationships that benefit our rights holders and guests. To maintain high standards, we tour and inspect our hotel partners' properties. This personal knowledge of the hotel amenities ensures that we only recommend hotels that meet our strict quality criteria.

We excel at securing hotel partners in areas where other companies may struggle or during peak tourist seasons. Our established relationships and deep industry knowledge give us a unique advantage, allowing us to overcome common challenges and meet our clients' needs even in high-demand locations.

Our Concierge Service: Simplify Group Block Management

Book Your Block is excited to introduce our enhanced Concierge Service, designed to streamline event hotel arrangements for group leaders. Our latest feature includes an innovative tool that simplifies communication of booking instructions to athlete families. Welcome to a new era of group block management…

Connect with Us to Secure Your Hotel(s)

The concierge service is highly recommended for clubs with multiple teams attending tournaments.

This allows family members to easily access and select from the chosen hotel options, offering flexibility to pick properties that meet their preferred amenities and price points. Additionally, it ensures they can stay connected with other club families. Ultimately, your team's comfort is our unwavering commitment.

Streamlined Communication and Updates

Group leaders have the flexibility to either communicate out booking instructions themselves or provide us with their team member emails. Once Book Your Block receives the team's email addresses, our communications pipeline springs into action.

Book Your Blocks innovative technology will reach out to each team member directly, providing them with personalized booking instructions and guiding them to the best-fit hotels within the group block. We only need the email addresses, so you can be assured that our sole goal is to efficiently provide your event lodging information to families. Recognizing that families may not act immediately, we also send repeat communications as reminders about the hotel options.

Monitoring Your Groups Reservations

Group leaders will receive periodic status updates on block reservations and have access to an online dashboard to monitor bookings, ensuring they maintain a comprehensive overview of the group block's progress. This dashboard provides an in-depth view, highlighting the release date of the group block, displaying the remaining hotel inventory, and tracking which families have completed their reservations. If additional time is needed to coordinate athlete family bookings, our concierge team is available to assist with arranging these details.

The Ultimate Solution

“We understand that team leaders have incredibly demanding schedules and numerous responsibilities. Our Concierge Service is designed to alleviate the task of setting up and managing group accommodations, making the process as effortless as possible for them” says Mark Shearer, CEO of Book Your Block. With our Concierge Service, this task is lifted from the group leader's shoulders. No longer will they need to manually pass along booking details to team members; instead, our automated system handles the communication seamlessly.

Book Your Block’s mission with the Concierge Service is to ensure that everyone can easily book rooms at the same central hotel, ensuring that players are accommodated together and ready to kick off their tournament. By fostering a community atmosphere among families and players alike, we aim to enrich their experience well beyond the playing grounds.
